This policy covers KaiCircuit n8n's Google-connected business email workflows and these app information pages. KaiCircuit operates the app from Los Angeles, California. For privacy questions, email aibizno1@gmail.com.

Information we process

The app processes connected-account authorization information, email addresses, senders and recipients, subjects, message text, message identifiers and delivery results. Demonstration requests include the email address, sample message and selected language. Business enquiries and owner approvals may also create workflow records.

The connected mailbox has granted broad Gmail permissions, including permission to read, compose, send, manage and permanently delete email. Those permissions are broader than the operations currently used by the workflows described here. The current inbox monitor reads messages and sends an internal alert; it does not delete email. We do not use the grant as permission for unrelated purposes.

How we use email information

We use this information to send requested demonstrations, handle enquiries, sort incoming business email, notify the operator, manage owner approvals, deliver reports, troubleshoot failures and protect the service.

Email AI: your three choices

Each package covers one business. We agree in writing on the connected email inboxes and monthly email limit before service starts. Extra inboxes or a higher limit may cost more; we ask for your approval before adding charges. Your privacy choice applies separately to each connected inbox, so you can use different settings for different inboxes.

Before we enable a customer's inbox automation, we record the account holder's choice and the mailbox it covers. These controls apply to incoming email sent to AI for sorting and summaries.

  1. All emails: allow eligible incoming messages from the connected inbox to be processed by AI. This can include personal messages, so choose it only for a mailbox whose contents you authorize us to process.
  2. Business filter: process messages that match your configured work labels, approved senders, dedicated work delivery addresses or known business conversations. Uncertain messages, including possible new-customer enquiries, go to manual review without being sent to AI.
  3. Approved only: process messages from exact approved email addresses that pass the sender checks, or messages individually approved for processing. Work keywords alone do not authorize AI access.

All three choices include checks for detected passwords, security codes and certain financial, medical or identity information. Detected sensitive messages, unreadable messages and messages that exceed the processing limit are held for review. The original stays in Gmail. A review alert links to it; a separate review record stores the mailbox, message reference, reason and review status, without copying the subject or body.

Filtering happens in KaiCircuit's automation before an eligible subject and message text are sent to OpenAI. We remove common contact details, links, quoted history and signature patterns where detected, then send at most 4,000 characters of message text. Sender fields, message identifiers, full headers and attachments are not included in the AI request. This is data reduction, not complete anonymization: names and other personal information may remain.

Unknown messages are not sent to AI just to decide whether they are work-related. Please check review alerts and your original inbox: filtering can make mistakes, and message delivery or automation can fail. No filter can guarantee that every business message is recognized or every sensitive detail is detected.

To choose or change your mode, approved senders or work rules, email aibizno1@gmail.com. Changes apply after we confirm and configure them. Held messages require manual handling; changing a rule does not automatically reprocess older mail. These choices do not authorize automatic replies, marketing or payments, and do not apply to information you voluntarily enter into website chat.

We use eligible email information for the agreed business service. We do not publish email contents or use this feature to make them publicly available. AI processing still involves the disclosed service providers and their retention practices.

Providers and sharing

Authorized operators may access business messages and relevant records to carry out these functions, answer a support request or investigate a problem. Google API data is used and transferred only for the disclosed, authorized functions and permitted support, security or legal purposes. We do not sell Google API data, use it for advertising or use it to train general-purpose AI models.

KaiCircuit's use and transfer of information received from Google APIs will comply with the Google API Services User Data Policy, including its Limited Use requirements.

Storage and retention

For the reviewed email and chat workflows, saving new full execution inputs and outputs is disabled, including successful, failed and manual executions. This does not delete older execution history or disable every server or provider log. Email, internal alerts, conversation memory and deliberately saved enquiry, approval, business and review records may remain under their respective controls. There is no verified automatic deletion schedule covering every copy.

Email and workflow records can remain in Gmail and the automation system until deleted through their account and workflow controls. Retention depends on the record and its operational, support, security or legal purpose; this app does not promise one fixed automatic deletion period for all records.

OpenAI's API has separate safety and application-storage rules. Its default abuse-monitoring retention is generally up to 30 days, with legal and safety exceptions; additional application storage can depend on the API feature and request settings. This is not a promise that every provider copy is deleted within 30 days. See OpenAI's API data controls.

Your choices and deletion requests

The connected Google account holder can review or revoke access in Google Account connections. Revoking access stops future authorized access through that connection; it does not automatically delete messages, execution records or other copies already stored.

Email aibizno1@gmail.com to request access, correction or deletion of information associated with you. We may need to verify the request. We will review the relevant records and remove information we no longer need, subject to applicable obligations. Provider-held records and backup copies may follow their own retention and deletion processes.

Protecting information and policy changes

Only connect an account you are authorized to use. Use fictional sample details for demonstrations and do not submit passwords, payment information or sensitive customer records. No online service can guarantee absolute security.
